Terms and Conditions of Business
Public Training
Registering your Booking can be done by any one of the methods below:
- Complete the “online” booking process on our website
- Complete the Booking Form located on our website and email to bookings@aikona.com
- Fax your completed Booking Form to 01628 552881
- Post your completed Booking Form with Cheque or Credit Card details to:

- Email learning@aikona.com and specify course name and date. State your name, company, address and contact details and a Booking Form will be emailed back for completion and return.
Payment for public courses is required at least two weeks in advance of course commencement. Aikona reserves the right to refuse admission if payment has not been received.
All course and examination fees are subject to VAT at the current statutory rate.
All payments will be confirmed with a receipted invoice, which will be sent to the booking address.
All bookings must be made on Aikona’s booking form which will constitute a legally binding contract.
Course Fees
Course fees are shown alongside each course including residential fees where appropriate.
5 day residential courses are fully inclusive of venue stay and materials from Monday morning to Friday afternoon.
All non residential courses include materials, lunch and refreshments during the day.
Venues
Aikona do not accept any responsibility for the security of personal items at the venue.
Full joining instructions including venue, map, directions and timings will be sent upon receipt and acceptance of your booking 10 working days prior to a course. Advance information can be obtained by emailing learning@aikona.com or by telephoning 01628 552880.
Aikona cannot be held responsible for non-arrival of Joining Instructions. Please contact Aikona if joining instructions have not arrived 7 working days prior to course commencement.
Course Timings
These will be indicated in the joining instructions and range from 9.00am – 9.30am start with 5.00pm – 5.30pm finish. Residential courses will require evening work.
Course Cancellations
Cancellations on courses 16-20 working days prior to a course date will incur 50% charge of course fee.
Cancellations on courses less than 16 working days prior to a course date will incur 100% charge of course fee.
Where materials have been issued prior to the scheduled attendance of the course, a fee of £100 per pack will be due. If a place on a course is cancelled as a result of non payment within terms and the materials have already been issued then the fee of £100 will be due.
Examination Cancellations
Examination cancellations made less than 11 working days before the exam will be charged at full fee although substitute delegate names can be given up to 10 working days before the exam.
Course Transfers
Transfer requests made 16-20 working days prior to the confirmed course date will incur 50% charge of the course fee.
Transfer requests made less than 16 working days prior to the confirmed course date will incur 100% charge of the course fee.
A substitute delegate for non-exam courses can be named at any time prior to the course start.
Data Protection
Aikona adheres to the Data Protection Act 1998 with amendments. Your details will not be passed to any outside Companies but may be used by Aikona Management Limited where it is thought other services and products may be of interest and benefit to you.
Cancellation, Postponement or Substitution of Course Dates
Aikona reserve the right to change the course presenters, dates, venue and content should the need arise. In the unlikely event of a course being cancelled or postponed by Aikona, a full refund will be made but no further liability will be accepted.
Intellectual Property - All Materials provided to Course delegates are copyright of Aikona Management Limited. The materials provided individually to each delegate may be permanently retained for the exclusive use of the individual delegate. No part of Course Materials may be reproduced or transmitted in any form, or by any means, electronically or mechanically, including photocopying, recording or any information storage or retrieval system without the prior written permission of Aikona Management Limited. Course Materials are provided subject to the condition that they shall not, by way of trade or otherwise, be lent, resold, hired out, or otherwise circulated without the prior written permission of Aikona Management Limited. Any use, duplication or lending of Course Materials without the prior written consent of Aikona Management Limited, save for such uses as are allowed under applicable law is prohibited. All course materials are copyright of Aikona Management Limitedin whatever format.
Non Solicitation - Until the expiry of six months after completion of a service, neither party will solicit the employment or services of any personnel of the other party who has been engaged in connection with services. Liquidated damages for breach of this provision payable by the party in breach of this Clause shall be equal to fifty percent (50%) of the annual gross salary or annual service fees of that person in their employment with the original party.
General - These Terms are governed by the law of England and Wales and are subject to the exclusive jurisdiction of the English Courts. Aikona Management Limitedshall not be liable for any failure to fulfil its obligations where such failure is due to circumstances beyond its reasonable control. Aikona Management Limitedshall be entitled to assign its rights and obligations under these Terms to a purchaser of the whole or a substantial part of its business.

Corporate Sales
These terms and conditions (“Terms”) form the entire agreement between Aikona Management Limitedand the client (“Client”, “you”) for the goods and services provided. These Terms shall prevail over any terms of business or purchase conditions proffered by the Client, unless agreed otherwise in writing. These Terms may not be varied without the written agreement of authorised signatories of the parties.
Cancellation
You may cancel a confirmed service/course by giving written notice and on payment of a cancellation fee, which is a percentage of the service/course fee. The cancellation fee varies with the amount of written notice given to Aikona Management Limitedas follows: > 20 working days – no fee; 11-19 working days – 50% fee; 0-10 working days – 100% fee.
Postponement
You may postpone a confirmed service/course by giving written notice and on payment of a postponement fee, which is a percentage of the service fee. The postponement fee varies with the amount of written notice given to Aikona Management Limitedas follows: > 11 working days – no fee; 0 -10 working days – 70% fee. If a postponed course is not delivered within six months of giving notice of postponement, the appropriate cancellation fee (stated above) will apply.
Fees and Payment Terms
Aikona Management Limitedshall invoice the Client for all fees, charges and expenses due plus VAT at the prevailing rate. All invoices are payable within 30 days of the invoice date. Payment of invoices is of the essence of these Terms and, if any payment is overdue, Aikona Management Limitedshall be entitled to: charge interest on any overdue payments at the rate of 3% above the base lending rate from time to time of Barclays Bank PLC on any sums due but not paid, from the date payment became due until the actual date of payment, without prejudice to any of its other rights and / or; charge on an indemnity basis for all collection costs incurred as a result of instructing a solicitor or collection agency to recover the outstanding payment. If the Client requests that services or Courses are provided otherwise than at Aikona Management Limited’s premises, then all travel and subsistence expenses incurred in the provision of services and Courses shall be paid by the Client. Any equipment hire, expenses or expenditure approved by the Client shall be charged to the Client.
Confidentiality and Intellectual Property
Each party agrees that it shall maintain as confidential all information of a confidential or commercially sensitive nature that it obtains from the other party (or from any person on behalf of the other party) and shall use such information solely to fulfil its obligations under these Terms or as may be required by law. All intellectual property rights (“Rights”) in all materials used in delivery of the service (“Materials”) are vested in Aikona Management Limitedor its licensors, and all such Rights are reserved. All Rights in materials or any media produced by Aikona Management Limitedpersonnel during services are vested in Aikona Management Limitedand the Client is licensed to use such Rights solely for the purposes of the relevant Terms. All Materials provided to Course delegates are on loan for the exclusive use of the individual delegate and remain the property of Aikona Management Limitedor its licensors. No part of Course Materials may be reproduced or transmitted in any form, or by any means, electronically or mechanically, including photocopying, recording or any information storage or retrieval system without the prior written permission of Aikona Management Limited. Course Materials are provided subject to the condition that they shall not, by way of trade or otherwise, be lent, resold, hired out, or otherwise circulated without the prior written permission of Aikona Management Limited. Any use, duplication or lending of Course Materials without the prior written consent of Aikona Management Limited, save for such uses as are allowed under applicable law is prohibited.
Aikona Management Limited’s Liability and Insurance
Aikona Management Limited's total liability to the Client, other than for death or personal injury caused by its negligence or for fraud, for any losses costs expenses or damages under these Terms shall be limited to the total Fees paid or payable by the Client to Aikona Management Limitedin relation to the specific service to which the claim relates. Under no circumstances shall Aikona Management Limitedhave any liability to the Client for loss of profit, revenue, anticipated savings or bargain or loss or corruption of data or software or for any indirect special or consequential losses. All Aikona Management Limitedgoods and services are provided materially in accordance with their description. The undertakings, representations and warranties in these Terms are in lieu of all other warranties express or implied, statutory or otherwise. Aikona Management Limitedmaintains £5M and £1M insurance cover in respect of Public Liability and Professional Indemnity respectively.
